Privacy Policy

Turkis Crew is a volunteer platform used to coordinate volunteers and create a community around cultural events and venues.

We collect as little information as possible and try to be clear about how it is used.

Who manages the data?

Turkis Crew currently manages this platform.

What information is collected?

Required information:

  • Name
  • Email address
  • Phone number

Optional information you may choose to provide:

  • Profile photo
  • Short biography/about text
  • Social links
  • Volunteer preferences
  • Notification preferences
  • Other profile details you decide to add

The platform may also store:

  • Shift signups
  • Event participation
  • Chat messages related to events
  • Basic activity related to using the platform

Why do we collect this information?

We only collect information needed to:

  • Coordinate volunteers
  • Manage events and shifts
  • Reach volunteers quickly about shift changes or on-the-night logistics
  • Let volunteers communicate
  • Help volunteers recognize and connect with each other
  • Send important notifications and updates
  • Improve the platform

We do not sell personal information.

GDPR and legal basis

Turkis Crew is built to follow the principles of the EU General Data Protection Regulation (GDPR): collect only what is needed, use it for clear purposes, keep it reasonably secure, and give volunteers control over their own information.

Depending on the situation, we rely on:

  • Contract or requested service, when we need the information to provide the volunteer platform
  • Legitimate interests, when we need to coordinate volunteers, keep the service secure, prevent misuse, and improve the platform in a limited way
  • Consent, when you choose to provide optional profile information or accept this Privacy Policy during signup
  • Legal obligations, if we are required to keep or disclose limited information under applicable law

If a feature asks for optional information, you can choose not to provide it or remove it later from your profile.

Who can see my information?

Some information may be visible to other volunteers, such as:

  • Name
  • Profile photo
  • Optional profile information you choose to share
  • Past Turkis events and shifts connected to your public crew profile
  • Upcoming events or shifts you share with another volunteer
  • Event chat messages, visible to the volunteers and admins connected to that event

Administrative users may also see information necessary to coordinate volunteers, including email and phone number.

Third-party services

Turkis Crew uses external services that process limited information:

  • Supabase - authentication and database hosting
  • Vercel - website hosting
  • Resend - email delivery
  • Sentry - error monitoring, configured to avoid collecting sensitive volunteer information

These services may temporarily process technical information required to operate the platform.

Cookies and similar technologies

Turkis Crew only uses cookies and similar browser storage that are needed for the platform to work or to remember choices you have made.

  • Supabase authentication cookies, used to keep you signed in and protect restricted volunteer and admin pages
  • A temporary Supabase code-verifier cookie, used during email confirmation, magic-link, and password-recovery flows
  • tc_route, a short-lived signed routing cookie used to remember your approved role/status for a few minutes so the app does not need to repeat the same profile lookup on every page
  • turkis-locale, used to remember whether you chose English or Danish

We do not currently use advertising cookies, marketing pixels, or third-party tracking cookies. If we add non-essential cookies in the future, we will ask for consent before using them.

How long is information stored?

Information is stored only as long as needed for the platform to function.

You can edit or delete your account and profile information from within the platform.

Some operational or system information may remain temporarily for security, backup, or technical reasons.

Deleting your account and data

You can delete your account from the Privacy & data section of your profile. To avoid accidental deletion, the app asks you to confirm by typing DELETE.

When the deletion request succeeds, the active app database and profile-image storage are updated immediately as part of that same request. This normally means your account is gone from the app within seconds.

Account deletion removes:

  • Your login account
  • Your volunteer profile, including name, email, phone number, profile photo, profile details, role tags, and application information
  • Your shift signups and event participation records connected to your profile
  • Your event chat messages
  • Your notification preferences and push-notification device subscriptions
  • Broadcast-recipient rows that record that an email broadcast was sent to you
  • Older legacy-profile, legacy-signup, and legacy-message rows connected to your account, where those tables exist

Some shared coordination history may remain, but it is anonymized. For example, activity-log entries are kept so admins can still see that a coordination event happened, but your name and profile id are removed from those entries.

Backups, provider-level security logs, and technical logs may remain for a limited time after deletion, but they are not used to keep your profile visible in Turkis Crew.

Your rights

You may request to:

  • View your information
  • Correct information
  • Delete information
  • Ask questions about how information is used

Changes

This policy may occasionally be updated as Turkis Crew evolves.

Major changes will be communicated through the platform.
